How to Prepare Your Artwork for Commercial Printing - A Complete Prepress Checklist

Creating a great design is only the first step in producing high-quality printed materials. Before your project reaches the press, your artwork needs to be properly prepared to ensure accurate colors, crisp images, and a finished product that looks exactly how you imagined.

1. Use the Correct File Format

Not all files are created equally when it comes to commercial printing. For the best results, submit print-ready files whenever possible.

Recommended file types:

  • PDF (preferred)

  • AI or EPS for vector artwork

  • High-resolution TIFF files

Avoid submitting low-resolution JPGs, screenshots, or images pulled directly from websites. These formats may look fine on a computer screen but can become blurry, pixelated, or lose detail when printed.


While AI-generated images can be a great tool for inspiration and creative concepts, they are not always production-ready for commercial printing. Many AI-generated images are created at low resolution, lack proper color profiles, and do not contain the clean vector paths needed for professional reproduction. Before using AI artwork in a print project, files often need to be professionally prepared, upscaled, color-adjusted, and converted into a print-ready format to achieve the best results.


2. Check Your Resolution

Images that look sharp on your computer screen may not be high enough quality for print.

For most printed materials, images should be:

  • 300 DPI for brochures, flyers, postcards, and other close-view materials

  • 150 DPI or higher for large-format printing, where artwork is viewed from a distance

Using high-resolution images helps ensure clean lines, sharp text, and professional results.


3. Set Up Proper Bleed and Margins

Bleed is the extra area added beyond the final cut size of your design. It allows the printer to trim your project cleanly without leaving unwanted white edges.

A typical print setup includes:

  • 0.125" bleed on all sides

  • Important text and logos kept safely away from trim edges

Proper setup helps prevent accidental cropping of important design elements.


4. Convert Colors Correctly

One of the most common surprises in printing is color variation between your screen and the final product.

Screens display colors using RGB (red, green, blue), while most commercial printing uses CMYK (cyan, magenta, yellow, black).

To improve color accuracy:

  • Design in CMYK when possible

  • Use Pantone colors when exact brand matching is needed

  • Review proofs before production

This helps ensure your printed colors align with your brand standards.


5. Outline Fonts and Embed Images

Missing fonts or linked images can create unexpected changes during production.

Before sending your files:

  • Convert fonts to outlines when appropriate

  • Embed all images

  • Package artwork files if working with design software

This ensures your printer receives everything needed to reproduce your design correctly.


6. Review Your Final Proof

Before production begins, always review your final proof carefully.

Check for:

  • Spelling errors

  • Incorrect contact information

  • Image placement

  • Colors

  • Sizing

  • Finishing details
